Clark Retirement is looking for a proactive Scheduling Manager to lead the coordination of staff coverage, ensure optimal staffing levels, and support our teams in delivering exceptional care for our senior living community. In this pivotal role, you’ll manage employee schedules, respond to staffing inquiries, monitor attendance, and collaborate with leadership to forecast needs and control labor costs. You’ll play a key role in boosting employee satisfaction through fair, consistent scheduling and effective communication.

Clark Retirement has two locations within Grand Rapids. The scheduling manager will be responsible for coordinating nursing staff schedules for both locations (approximately 90 employees in total). This position will work on-site full-time, and will require frequent travel between the two campuses (5 miles). Salary may vary depending on experience and qualifications.
Key Responsibilities
1. Develops and maintains staff schedules for the department(s) to ensure adequate coverage for all shifts while optimizing staff resources.
2. Serves as the primary point of contact for employee scheduling inquiries and adjustments.
3. Communicates effectively with department heads, supervisors, and staff members to address scheduling concerns and resolve conflicts promptly.
4. Makes appropriate adjustments to employee schedules based on resident census and other needs.
5. Posts schedule in advance and in accordance with departmental requirements. Ensures scheduling matters are handled consistently and fairly.
6. Tracks and monitors staff attendance and performance metrics, such as punctuality and overtime hours. Notifies supervisor of concerns, when appropriate
7. Ensures that worked hours, overtime hours, paid time off, bereavement, jury duty and department/unit transfers are appropriately documented on the employee schedule and timecard. Assists with PBJ reporting, as needed.
8. Identifies and communicates trends and areas for improvement and implement strategies to optimize scheduling efficiency and staff satisfaction.
9. Provides training and support to staff members on scheduling procedures, timekeeping systems, and relevant policies.
10. Collaborates with leadership to develop and manage the scheduling budget, including forecasting staff needs, monitoring labor costs, and identifying opportunities for cost savings based on current census.
11. Proactively identify opportunities to streamline scheduling processes, enhance communication channels and improve overall operational effectiveness.
12. Performs other duties as assigned.
Qualifications
- High School Diploma or GED equivalent (associate's or bachelor's degree preferred)
- Certified Nurse Aide or Licensed Nurse (preferred)
- 3+ Years of experience in staff scheduling
- Experience in healthcare or senior living
- Experience with UKG Pro (preferred)
- Must have strong computer skills and experience with Microsoft Office Suite (Teams, Excel, Word, etc)
